I had the privilege of organizing Accor's prestigious annual Ultra-Luxury Gathering, bringing together 50 participants from offices around the world, including Dubai, Toronto, Singapore, China, and Europe. This exclusive event, which featured a mix of directors and employees, also welcomed 10 distinguished speakers.

This ambitious project came with numerous challenges that had to be addressed to ensure its success.

• Coordinating the arrival of all participants in London.

• Securing a suitable Accor Luxury hotel with 60 high-standard rooms, while managing multiple last-minute changes and negotiating rates.

• Organizing an event that required changing venues each day for conferences and activities to showcase Accor's luxury hotels and palaces in London, despite high demand and limited availability.

• Sourcing the right speakers—renowned, relevant, and available for the event. Despite initial unavailability, I successfully convinced them to participate, ensuring the event had the best possible talent.

• Arranging visits to competing luxury hotels and palaces in London, navigating staffing constraints during peak season to ensure multiple tours.

• Managing activities such as workshops and visits in small groups, requiring flawless organization and timing.

What I Delivered :

I meticulously managed the entire agenda, ensuring every speaker's participation despite scheduling constraints.

Ahead of the event, I prepared a comprehensive "save the date" with key information, including the agenda, dress codes, and other important details to ensure participants were well-informed.

I collaborated closely with each speaker to refine their presentations, aligning their content with the overall theme and objectives of the gathering.

I curated welcome gifts and amenities for each participant, ensuring they were delivered to their rooms prior to arrival.

I sourced and negotiated with a dedicated photographer to cover the entire seminar, adapting to last-minute schedule changes seamlessly.

I arranged exclusive transportation services, securing a VIP coach at the price of a standard bus through negotiation.

On-site, I managed numerous last-minute changes, such as additional overnight stays, delays in activities impacting transportation schedules, and the replacement of hotel visits when some venues canceled. I organized and hosted the icebreaker session, recognizing that many of the participants were meeting in person for the first time after having worked together remotely. To simplify the complex and dynamic agenda, which involved various group activities, I created a personalized digital schedule for each of the 50 participants, ensuring everyone had up-to-date details on their activities and locations at all times.

I proposed an innovative off-seminar activity: an afternoon of relaxation at Raffles London. Women enjoyed a luxurious Guerlain spa facial workshop, while the men experienced the exclusive James Bond Experience at the select Spy Bar.

To celebrate the achievements of employees, I organized an Awards Evening, securing a top-tier restaurant, coordinating the provision of a microphone, and overseeing the creation of custom-made trophies to commemorate the event.

I worked closely with the photographer to create a souvenir video, capturing the highlights of the seminar, which deeply moved everyone and left a lasting emotional impact on the participants. I also set up an online space where participants could access all the event photos.

This project demanded exceptional organization, flexibility, and the ability to manage multiple moving parts with precision. I collaborated with numerous partners and suppliers, making two personal visits to finalize details.

I successfully created a fully immersive and emotionally rich experience, combining luxury, innovation, and meticulous attention to detail. Through my multifaceted approach, I not only delivered a flawless event but also saved the company significant costs by personally overseeing all aspects of the project.
