Elevating Collaboration to Create Impact
For the Danone group, I had the privilege of organizing a large-scale seminar for the Quality Africa Region department, bringing together 50 directors from across Africa and North Africa.
What started as a Paris-based event transformed into a Marrakech gathering just one month before the seminar, requiring a complete relocation and reorganization.
This seminar required not only exceptional organizational skills but also flexibility, creativity, and a deep understanding of cultural sensitivities. By handling all aspects, from logistics to team-building activities, I ensured a memorable and seamless event.
The relocation from Paris to Marrakech added complexity, but through strategic partnerships and meticulous planning, the seminar was a resounding success.
The personalized elements, cultural sensitivity, and attention to detail made this an unforgettable experience for all attendees.
Considering the multitude of factors at play, I was presented with several challenges :
With only a month to go, I had to move the entire event to Marrakech. This involved assisting each participant with travel documentation and visa arrangements while securing a high-end city-center hotel that met our specific needs.
Managing attendees from various countries introduced complexities regarding visas, logistics, and cultural considerations, with a focus on respecting different traditions and religious practices.
Each participant was required to bring dairy products exclusively produced and sold in their country, necessitating special sanitary regulations and permissions, as well as negotiating with the hotel to provide refrigerated storage in the workshop rooms.
What I Delivered:
Leveraging my network, I secured exclusive access to a brand-new resort that had only opened six months prior in Marrakech, providing an ideal and luxurious setting for the seminar.
I negotiated with a trusted travel agency from my network, ensuring personalized, 24/7 assistance for the group, with centralized and seamless travel arrangements.
A custom agenda was created, incorporating high-profile speakers, special equipment arrangements, and interactive workshops. I booked numerous rooms for the various activities, ensuring everything ran smoothly.
Ahead of the event, I prepared a comprehensive "save the date" with key information, including the agenda, dress codes, and other important details to ensure participants were well-informed.
I meticulously organized all the workshop sessions, offering tailored, relevant activities that fostered engagement and interaction.
Working closely with the speakers, I revised each presentation to ensure they were visually appealing and cohesive with the event's goals.
I had the hotel personalize the refrigerators with Danone's branding, enhancing the visibility of the brand throughout the event.
I organized and hosted the icebreaker session, recognizing that many of the participants were meeting in person for the first time after having worked together remotely. This helped create a comfortable and collaborative atmosphere from the outset!
On-site, I ensured the seamless execution of every aspect, managing last-minute challenges and attending to each participant's numerous requests, all while maintaining sensitivity to cultural differences.
I designed custom-made goodies for the participants as memorable tokens of the event.
Having a passion for photography, I personally took event photos and created a souvenir video, capturing the most memorable moments of the seminar. I also set up an online space where participants could access all the event photos.
I collected and analyzed feedback through a survey to ensure future events could be even more impactful and tailored to participants’ needs.
For the team-building activity, I organized a treasure hunt in the iconic Jemaa el-Fna square. I created diverse teams to encourage interaction, developed the game by engaging locals, and provided prizes for the winning group.
I proposed and organized a themed evening, where participants represented their respective countries by dressing in traditional attire, adding a cultural and personal touch to the event.
